Tenancy Management Assistant (Internal Candidates Only)

We are currently recruiting for a Tenancy Management Assistant on a permanent contract to work within the busy Tenancy Team.  We are looking for an experienced, dynamic, and highly motivated person with housing management experience to join our Tenancy Team and help us continue to provide excellent services to our customers.   Main duties include: -

 

  • Manage the Council’s garage stock.  This includes managing the waiting list, the allocation, and lettings of garage tenancies.
  • Manage the Mutual Exchange process from the application stage to arranging the sign-up for the Tenancy Management Officer.
  • To receive and respond to telephone calls on the Tenant Services duty phone line and to lead on monitoring the generic team inbox and to answer general enquiries or to signpost emails to the correct sections within the Council.
  • To provide an admin support to the Tenancy Management Team including bulk emails, mail-outs, and bulk text message campaigns.
  • To manage the Tenancy Team’s void process responsibilities daily to ensure that all information is current and correct and to assist the Tenancy Management Officer, to ensure all vacant properties are tenanted as quickly as possible to minimise void rent loss.  This will include the preparation of the sign-up documents, updating the Housing Management System following the sign-up and the uploading of CORE forms.
  • To monitor and maintain the gas no access list and provide administrative tasks for the preparation of letters and paperwork for court.
  • To assist the Tenancy Management Officer in the completion of Estate Inspection paperwork and any follow-up correspondence.
  • To maintain good record keeping on the Housing Management system and to ensure that the Team’s scanning is kept up to date.

 

You must be able to demonstrate

 

  • Experience of working in a social housing management environment, ideally within a local authority environment.
  • Great customer service skills
  • A basic knowledge of tenancy management law and good practise
  • A commitment to teamwork, and to providing excellent customer services
  • Able to prioritise and manage your own workload and meet competing deadlines.

 

We are seeking a Tenancy Management Assistant to join the team at level B. This level attracts a salary that is mid-point of the range. You will have related experience and be able to demonstrate applied and developed knowledge, experience and skills to be effective in this role. All elements of level A and B listed within the person specification are essential.  You will be supported to develop in your role through induction, probation and a supportive Performance Appraisal and Career Conversation. Through your induction you will be introduced to the Career Progression Framework (CPF), which will help you to identify your areas of strength and any development needs.

Career Progression Frameworks (CPF) have been introduced for all roles at Medway Council. These frameworks provide a mechanism for employees to take ownership of their development within their post and be rewarded accordingly. This means that the salary you will be offered will be at level A unless, based on an assessment against the CPF criteria, you demonstrate that you are meeting the criteria of level B or C.  There will be further opportunity once in post to progress from level A to B, and B to C.

Level A details the essential criteria that all applicants must be able to demonstrate through their application and interview.  

 

Level B details the developed competencies that an individual who is practised in this role would be able to demonstrate and will be a progression of knowledge, experience and skills from level A.  

 

Level C requires the highest level of competence and applicants would need to fully meet and demonstrate all aspects of the job profile, including qualifications, knowledge, skills and experience.
